What is an itemized receipt?
Updated
An itemized receipt is a receipt that lists every product or service you paid for, each with its own price, along with the merchant, the date, taxes and the total. A regular receipt or card slip only proves that you paid; an itemized receipt shows what you paid for.
What an itemized receipt shows
A complete itemized receipt usually includes:
- the merchant’s name and, often, the store address or number
- the date and time of the purchase
- each item or service on its own line, with quantity and price
- discounts and coupons applied to specific lines
- subtotal, tax and total
- how you paid (cash, card type and last four digits, gift card)
Supermarket receipts often abbreviate product names to fit the paper, so “WHL MILK GAL” stands for a gallon of whole milk. The information is all there, just compressed.
Itemized receipt vs regular receipt
| Itemized receipt | Non-itemized receipt or card slip | |
|---|---|---|
| Proves you paid | Yes | Yes |
| Shows what you bought | Yes, line by line | No, total only |
| Useful for reimbursement | Usually required | Often rejected |
| Useful for budgeting | Shows where the money went | Shows only the store |
Common examples of non-itemized receipts are the customer copy from a restaurant card reader, a tap-to-pay slip, a digital wallet notification and a line on your bank statement.
When you need an itemized receipt
Employer reimbursement. Expense policies commonly ask for an itemized receipt for meals and hotel stays, so the company can check that nothing outside the policy was claimed.
Taxes. In the United States, the IRS asks business travelers and self-employed people to keep documentary evidence for lodging regardless of amount, and for other business expenses of $75 or more (IRS Publication 463). A receipt that shows the items is the clearest evidence of the business purpose. Rules differ by country, so check with your tax authority or accountant.
FSA and HSA. Flexible spending account administrators generally require receipts that show the date, the provider or store, a description of each item or service and the amount, so they can confirm each purchase is eligible. HSA holders do not usually submit claims, but IRS Publication 969 says to keep records showing that withdrawals paid for qualified medical expenses.
Mixed purchases. When one shop includes both business and personal items, only an itemized receipt shows how much of the total belongs to each.
Returns and warranties. Stores look up the specific item on the receipt to process a return or warranty claim.
How long to keep receipts
In the US, the IRS generally recommends keeping records for three years from the date you filed the return, longer in some situations. In the UK, self-employed people must keep records for at least five years after the 31 January submission deadline of the relevant tax year. Thermal paper fades, so a scan or photo taken early is the safest copy, as long as your tax authority accepts digital records.
How to get an itemized receipt
- Ask at the checkout or the counter. Restaurants and hotels can print a detailed bill on request.
- Check your online account. Online orders keep an itemized invoice in the order history.
- Use the store’s app or loyalty program. Many large retailers keep digital receipts for purchases linked to your account.
- Contact the merchant with the date, the total and the last digits of the card you used.
Turn itemized receipts into data
A paper itemized receipt is useful once. Turned into data, it tells you how much you spend on each kind of product over months. Itemize AI scans the receipt with your iPhone, extracts every line item with its price, and assigns a category and a tag to each one, so you can search, report and export items to CSV.

What is the difference between a receipt and an itemized receipt?
Any receipt proves you paid. An itemized receipt also lists each product or service with its own price, so it shows what you paid for.

How do I get an itemized receipt if I lost it?

Is it itemized or itemised?
